Terms & Conditions

Bookings

All quotations (verbal or written) will be valid for ten days from the date of enquiry. We cannot guarantee that the date will be available after these ten days. Bar Match bookings are on a first come first serve basis. To confirm and hold a booking, the client must provide a 30% deposit either in cash, by electronic transfer (secure link), debit/credit card, cheque (made payable to Bar Match LTD) If the booking is confirmed up to 6 weeks prior to the event payment of the full amount will be required. Bar Match ltd will contact you at least one week prior to your event to confirm all final details of service. If the number of guests or hours of service increase at this time, we will adjust the remaining balance accordingly and issue your final invoice for any outstanding amounts on your account which will be due prior to the date of your event. We are always willing to accommodate additional guests to the event, when possible. However, after we have confirmed final numbers, we cannot offer any refunds for any guests not attending the event. Similarly, if at the moment of confirmation you would like to purchase any additional services, we will include them in your final invoice. Any optional services purchased during the event, such as additional hours of service or additional drinks, will be included in an additional invoice issued after the event. The remaining balance for any type of event is due one business day before the event. The staff reserve the right to stop the service if is believed an abuse of alcohol is taking place. We understand of course that not everyone drinks cock- tails and so it is for this reason that we also make sure to carry a small selection of beers, wines and spirits for those with different tastes; quantities can be vary depending on the size of each event. Shots and straight spirits are strictly not included in this package unless previously agreed upon by both parties. All our bars operate under the Licensing Act 2003 and all relevant restrictions will be upheld. All outstanding payments due to Bar Match LTD after 30 days will be passed to Solicitors where further action will be taken.

Terms & Conditions - The Basics

Timings

There is four hours minimum booking time for all members of staff unless pre agreed, this does not include any travel time. Overtime can be agreed on the night with the Bar Match event staff in charge of the event should the client wish to extend the service at an agreed hourly rate.

Cancellations

In the event of a cancellation, Bar Match ltd require notice (verbal or written) 14 days before the date of the event. Failure to do so will result in a 100%, non-refundable service charge. Booking deposits are not transferable or refundable unless otherwise agreed prior to booking and stated in writing. In case the event should not take place due to Covid restrictions or any other unforeseen circumstances, we have added some flexibility to our normal cancellation policy. Although any paid amount is not refundable, you will be able to postpone your event to a different date and your payment will be transferable to that future date or used against any different event you may plan.

Insurance

Bar Match LTD has a full Public Liability Insurance. Copies of certificates are available upon request.

Access

The client is responsible for ensuring that their delivery and collection instructions are consistent with parking restrictions. Bar Match reserved the right to pass on the client the cost of any fines incurred due to wrong or incorrect instructions. Parking is required for all events and must be provided by the client. For vehicle registration number please contact a member of our team. Adequate loading facilities must be provided by the client. Bar Match ltd will not be held responsible for any difficulties with this that results in a delay to service.

Loss or Breakages

Any loss or breakages of hire equipment will be the responsibility of the client and must be paid in full within 14 days of the event. Glassware is also included in the hire of equipment and is subject to the same conditions. However, Bar Match ltd has a standard breakage/loss charge of £3 per glass

Additional

The client is responsible for the behaviour and conduct of their guests. Bar Match ltd will always quote an ideal number of bar staff and mobile bars for each client to ensure each event runs smoothly with the highest standard of service. If the client request to change any of the items on the quote such us number of staff and/or mobile bars, Bar Match ltd will not be held liable for any responsibility for the overall success of an event. In the event that Bar Match ltd are not able to provide services as agreed due to circumstances out of their control (such us major weather conditions, transport problems, etc.), they will not be held responsible for any loss, cancellation or delay. In the event that a specific item (item of food or drink) is overly popular during the course of service, Bar Match may run out of stock for that particular drink. In such circumstance, Bar Match will not be held responsible for not being able to serve that specific drink for the remaining hours of service.

Privacy Policy

This privacy policy sets out how Bar Match use and protect any information you provide Bar Match ltd when you use the website. Bar Match ltd is committed to ensuring that your privacy is protected. What we do with the information we gather: We may periodically send promotional emails about new products, special offers or other information which we think you may find interesting using the email address which you have provided. From time to time, we may also use your information to contact you for market research purposes. We may contact you by email, phone, fax or mail. We may use the information to customise the website according to your interests.
